Charter Process

1. Contact The Gamma Beta Phi Society with your desire to start a chapter.

2. Identify eligible members and report the number to the Gamma Beta Phi contact.
Obtain a file of students eligible for Gamma Beta Phi membership from the college registrar. Eligible students will receive an invitation to join Gamma Beta Phi.
3. Work with The Gamma Beta Phi Society contact in scheduling information meetings and induction ceremony dates and times.
A Gamma Beta Phi representative will host your chapter’s first information meeting and induction ceremony.
4. Customize membership invitation letter.
A membership invitation letter is available online. All eligible students should be sent a membership invitation.
5. Mail/email invitation letter to eligible members.
The invitation letter should contain each eligible student’s online membership acceptance passcode, a pertinent facts document, and membership application form.
6. Conduct potential new member information meeting for eligible members.
At the orientation a Gamma Beta Phi representative explains the benefits of membership to eligible students. Guidelines and suggestions for preparing and conducting an effective orientation can be found online.
7. Report new members
Members will complete the membership application and pay membership fees through online membership acceptance with the passcode provided in the invitation letter. After being reported, members will receive a welcome email View all benefits here.
8. Mail chartering ceremony invitations to new members
Create and mail invitations to the chartering ceremony to all new members. You should also invite College President/CEO, college administration and faculty to celebrate the foundation of your Phi Theta Kappa chapter. We will send a representative to attend your ceremony to present the charter to the College President/CEO. The induction ceremony is followed immediately after the chartering.
9. Conduct chartering ceremony
The chartering ceremony is when your charter will be officially presented to your college and your chapter’s first members will be inducted. The Gamma Beta Phi representative will present the charter and serves as the guest speaker at the ceremony.
10. Electing Chapter Officers
Selecting/electing proven student leaders is critical in building a solid chapter foundation. These chapter officers will organize the chapters activities for the year, developing their leadership skills while becoming involved in the organization. Members will in turn develop their leadership skills and community involvement awareness.
11. Set Chapter Timeline Plan
We want your chapter to begin on the right foot by setting a goal. The Chapter timeline Plan guides each chapter through the process of becoming an active and engaged chapter. This plan serves as a blueprint for developing a strong chapter and for earning local, and National recognition. Participation encourages excellence and recognizes progress in the attainment of goals set by the chapter. Using the Chapter Timeline Plan as a guide to success, chapters can enhance their working relationship with the college administration by becoming active on the campus and in the community. 12. Receive chartering materials
Prior to your chartering ceremony, the chapter will receive induction packets and induction certificates for each charter member.
